Position Summary

Responsible for the directing of visitors and patients to the requested areas, including providing direction and appointment information for patients as requested.   Screens and badges all visitors to inpatient units

Key Responsibilities include:

  • Greets callers and visitors.  Gives directions to the Medical Center units / departments / buildings.
  • Answers telephones, screens and routes calls appropriately and expeditiously, and provides routine information. Identifies and refers most difficult inquires to Departmental Management.
  • Screens and badges all visitors to Helford Clinical Research Hospital and other inpatient units.
  • Ensures accurate wait-listing check-of new ambulatory care patients including EPIC check-in on arrival, with documentation of records received, directing new patient consent appointments, and delivery of records to the appropriate departments.
  1.         Providing new patients appropriate forms to complete.
  2.         Collect CDs for upload of slides prior to appointment and ensure delivery back to patient.
  • Ensures accurate communication of incoming inpatients and outpatient surgery patients to the admitting department and other departments as appropriate.
  • Ensures proper notification of "Special Interest" patients to the appropriate COH department and personnel.
  • Issue valet parking validation when required.
  • Maintains a thorough knowledge of computer capabilities and functions as to assist with patient flow and communication of appointment information and directions.  
  • Accepts and processes donations of money, and miscellaneous items
  • Inputs request to CSPT for patient transport assistance from vehicle or transfer from gurney to gurney.
  • Process patient mail and deliver accordingly
  • Researches plaque and tile locations for visitors.
  • Maintains an appropriate level of productivity and accuracy for work performed.
  • Maintains departmental records and files for efficient operations.  .
  • Ensures workspace is neat and orderly, enabling easy transition for others covering the workspace.
  • Maintains thorough knowledge of various sections within the department in order to provide assistance to patients and staff when necessary.
  • Ensures that questions and requests for information are responded to in a timely and professional manner. Receives handles, and transfer phone calls and messages within the department promptly and courteously.
  • Communicates with patient and family needs and problems to the specialty team. Serves as liaison with hospital staff and personnel from other departments to coordinate the work of the department and its staff to facilitate providing care and services to patients.
  • Ensure that a positive service image is projected in all encounters with patients, visitors, and department staff. Greets patients, visitors, and staff ascertains needs, and directs appropriately.
  • Input online requests for maintenance repairs and communicated with EVS regarding entrance and lobby.  
  • Provide patients with COH laminated identification card

Basic education, experience and skills required for consideration:

  • High School or equivalent; Experience may substitute for minimum education requirements
  • Six months in customer relations or related experience

Preferred education experience and skills:

  • Medical office reception

Additional Information:

  • As a condition of employment, City of Hope requires staff to comply with all state and federal vaccination mandates.
  • This position is represented by a collective bargaining agreement
  • Hours for this position will vary, mainly evenings from 1:00pm - 9:30pm and weekend and holiday rotation.
