Position Summary
The Senior Manager of Compliance Operations is responsible for managing and executing plans for implementation of components of the organization Compliance Plan. This includes supervision of certain designated departmental activities of the Corporate Compliance Office that have enterprise-wide impact. Key job responsibilities include execution of departmental operational activities such as training management, maintaining and tracking databases used for department operational activities; and distribution of all written communications to the workforce such as audit-related communications, audit reports, regulatory updates, newsletters and emails. Supervises and coordinates Compliance Department’s operational activities and all outreach media such as website and publications. Manages Compliance Department issue management system and gathers data, summarizes and develops custom reports for Department and Board of Directors reporting purposes. Supervises the management of certain investigations for issues that are reported or identified as possible compliance issues. This role’s scope spans all Compliance verticals.
Provides supervision and oversight of the work of department administrative staff. This includes but is not limited to supervision of projects, work assignments and daily work on behalf of the department.
Supports Chief Compliance Officer in managing the day-to-day operations of the City of Hope Corporate Compliance Program.
Provides technical support of the development and management of the department budget.
Provides support in developing the department’s strategy and development of the annual work plan.
Provides support for Governance, Risk and Compliance Management system.
Typically reports to a position responsible for a major function. Business contacts include persons at all levels within the organization, industry, and community. Works independently with minimal supervision and requiring no instructions on routine work and limited instructions on new assignments. Maintains confidentiality and sets a positive example of morale, attitude and motivation.
Key Responsibilities include:
- Manages and administers departmental operational activities for entire COH workforce, such as compliance training and outreach activities, includes tracking of and follow up on reports, responses, communications and completion and maintenance of completion records. May include content compilation and administrative management of training classes or online modules; training roll out strategy development to include developing communications and outreach activities related to training; researching, recommending and implementing third party compliance training materials and courses; monitoring evaluations, analyzing data and modifying existing programs to better meet audience needs (e.g., performance improvement activities); communicating results of training; compiling training manuals, handouts, presentations and other related materials for presentation; leads or facilitates departmental discussions and discussions with other stakeholders on training content, format, and roll out strategies; communicates with COH leadership to enforce compliance training requirements and performance evaluation implications for failure to fulfill training requirements. Manage and support other compliance initiatives and activities, as necessary. Supervises administrative staff in carrying out delegated activities and special projects as well as daily work.
- Manages and administers other outreach efforts and activities of the Corporate Compliance Office. Serves as department liaison with other departments to facilitate compliance training and outreach activities and coordinate outreach efforts and obtain COH workforce feedback on outreach activities.
- Lead in the development and maintenance of Governance, Risk and Compliance Management system.
- New Employee Orientation training and other trainings required of City of Hope workforce members. Tracks and follows up on training completion. Communicates with COH leadership on performance evaluation implications for failure to fulfill training requirements. Periodically assesses impact/effectiveness of training and obtains and analyzes feedback on training requirements/needs.
- Coordinates, directs and/or conducts internal compliance investigations throughout the organization, including compiling reports with recommendations to the Chief Compliance Officer and management.
- Develops, maintains and updates institutional and departmental policies and procedures relating to physician coding audits, compliance training and outreach.
- Maintains compliance hotline and tracks all compliance issues from all sources.
- Process purchase orders, invoices and expense reimbursements. Ensure all documentation for funds spending is appropriately maintained and filed.
- Resolves routine and some complex inquiries and fulfills requests from internal & external business contacts using knowledge of division/department & organization policies & procedures.
- Performs other related duties as assigned or requested.
Basic education, experience and skills required for consideration:
Minimum Education: Bachelor’s Degree; experience may substitute for minimum educational requirements
Minimum Experience: 7+ years’ experience in compliance and/ or training or a related field; 3 years of experience in a leadership capacity
Preferred education experience and skills:
- Bachelor’s degree or equivalent work experience in a related field required.
- Experience in healthcare, compliance, workforce training or organizational development preferred.
