Job Description
Argonne National Laboratory is inviting applications for the position of Administrative Assistant within the Physical Sciences & Engineering (PSE) directorate.
In this role you would:
Provide administrative support to staff of one or more groups within a division and/or directorate
Perform a wide range of administrative support activities of a highly responsible and/or confidential nature to maximize the day-to-day efficiency and effectiveness of operations within their assigned area
Exercise independent judgement and discretion in addressing identified priorities, meeting deadlines, and finalizing tasks with accuracy and completeness
Act as the administrative focal point for the exchange of essential information between the groups they support, and other internal and external organizations
Coordinate all staff requests related to travel, meetings, workshops, publications, etc.
Work in a collaborative, team environment with other administrative support staff
Provide back-up to other administrative assistants across the directorate as needed
Position Requirements
Knowledge of administrative support and office practices
Demonstrated interpersonal, written, and oral communication
Ability to interact diplomatically and tactfully in both verbal and written with people at all levels both within and outside the Laboratory
Flexible with the potential to work with many groups in the directorate
Ability to think quickly when managing difficult situations
Analytical, problem solving, and decision-making skills to resolve problems independently with incomplete or conflicting data
Strong organizational and time management skills including the ability to prioritize, organize and handle multiple assignments simultaneously in a fast-paced environment, while being detail oriented and using sound independent judgment to accomplish tasks

Adapt to new procedures and technology within the division, directorate and laboratory
Work under minimum supervision and meet deadlines with accuracy and completeness
Knowledge, skills, and experience, including advanced features in editing documents, with Microsoft Office Suite (Word, Excel, and PowerPoint, Mail, and Calendar) and Adobe Acrobat
Desired Knowledge:
Laboratory and Division policies, practices, and procedures is desirable
Skill in arranging and coordinating meetings, workshops, conferences, onsite visits, and both managing domestic and international travel
Ability to quickly acquire knowledge of Laboratory systems and applications such as AMOS and PARIS for procurement, PANDA for publications, XINK for business forms, XM for trave/reimbursement, FAVOR for processing foreign visitor requests, and meeting/conference arrangements are a plus

The selected individual will be placed at the appropriate level (SA2 or SA3) depending on the depth and breadth of relevant knowledge, skills, and experience brought to the position. The requirements for the desired levels are as follows:
SA2: High school diploma and 4+ years of relevant experience or equivalent
SA3: High school diploma and 8+ years of relevant experience or equivalent
