Provides administrative assistance to a team of HR professionals supporting numerous divisions within the Physical Sciences and Engineering directorate. Performs a wide range of administrative support activities of a highly responsible and/or confidential nature to maximize the day-to-day efficiency and effectiveness of operations within assigned areas.
Exercises independent judgement and discretion in addressing identified priorities, meeting deadlines, and finalizing tasks with accuracy and completeness. Utilizes HR systems to process, monitor, and audit employee actions, business processes, and/or employee data as well as produce reports. Assists with coordination of the hiring and onboarding of new employees primarily students and post docs, as required. Initiates related job requisitions, coordinates employment applications and other associated processes. Coordinates student employment application and associated processes with student program office.
Monitors and supports immigration matters. Assists employees with finding appropriate policies, directing employees to the appropriate team for interpretation. Works in a collaborative, team environment with other administrative support staff. Provides back-up to other HR administrative assistants across the directorate as needed.
Demonstrated knowledge of administrative support and office practices including experience supporting HR functions. Understand and execute procedures and processes as they relate to HR Services
Utilize HR systems and applications to process and monitor business processes and/or employee data
Requires knowledge of or the ability to quickly acquire knowledge of Lab-wide systems and applications. Organizational skills, ingenuity, creativity, and the ability to solve problems independently. Skill and the ability to work on multiple concurrent projects in a fast-paced environment
Interpersonal skills, verbal and written communication skills, and ability to interact with people at all levels both within and outside the laboratory. Work successfully in a team environment and collaborate with peers. Adapt to new procedures and technology within the division, directorate, and laboratory
Ability to work under minimum supervision and meet deadlines with accuracy and completeness. Demonstrated experience utilizing numerous computer applications including but not limited to Workday and Microsoft Office Suite
Create and manipulate excel reports which meet the organization’s needs. Handle matters with a high degree of confidentiality and discretion
