Summary

The Division of Pediatric Hospitalists Medicine is seeking a highly qualified candidate to provide administrative support to PHM faculty. The ideal candidate must exercise initiative, judgment and discretion, independent decision making and able to prioritize work. The ability to work as part of a team is essential to the success of a person in this position

Responsibilities*

Provide complex calendar management in support of faculty; respond to frequent changes in schedules; screen th epurpose of meeting requests; set priorities when there is a conflict; and provide faculty with background information needed for meetings
Coordinate meetings and conferences, which may involve various locations, mutiple departments or teleconference. Reserving conference rooms, managing AV, Zoom Meeting
Procurement of subscriptions, membership renewals/dues, conference registrations, travel arrangements, books and other supplies using univeristy-preferred vendors
Coordinate travel arranagments and itineraries for faculty and visiting speaker
Assit faculty with correspondence, maintain CV, MCV, biosketches and other support
Reconcile PCard statements
Assist faculty in time away reporting, clinic closings and make-up clinic
QGenda (faculty scheduling) and MiChart support
Asistance with manuscripts, book chapters, reviews and other documents for faculty
Perform other duties as assigned to suport goals and objectives of the division
As part of administrative team, participate in team meetings, assist team members, provide backup coverage for other admiinstrative positions
Attend conferences and meetings to assist with recording, minutes, etc.
Assist temportary and new employees with orientation and familiarization with policies and procedures of the division
Oversee purchaing office supplies, prepare invoice for outreach billing
Manage special purpose traniess apllications, credentialing, onboarding and off boarding. Assist with clinical and on-call schedule and manage swaps/coverage
Perform other duties as assigned
Required Qualifications*

Minimum 4 years’ experience in an administrative setting.
Bachelor's Degree is required
Successful work experience with broad responsibilities in a large, complex organization
Excellent interpersonal skills and ability to work as a cooperative team member with staff, other University offices and with outside constituents.
Excellent oral and written communication skills
Ability to manage a large and varied workload with excellent attention to detail and to meet deadlines in a timely manner while demonstrating flexibility when priorities and deadlines change.
Knowledge of Medical School Policies and procedures.
Capacity to exercise initiative, independent judgment, diplomacy, and confidentiality with a positive attitude.
Excellent computer skills-proficient use of Microsoft programs.
Excellent attendance records.
Desired Qualifications*

Administrative support experience in a University of Michigan department or program is strongly desired
Knowledge of Concur Travel and Expense systems
Ability to relate to varied audiences
Knowledge of university policies and procedures as well as university systems including Mpathways, Concur, MiChart, MiCME and the M-CV database
Knowledge of/experience with QGenda
Can underfill with admin intermediate
