Job Description
We are seeking an Administrative Assistant who will perform a wide range of administrative support for the Site Services group and maintain a smooth and efficient flow of daily activities.
Responsible for:
- Manage the work schedule calendar for all Service tickets and track all updates. Reschedule Service tickets as necessary.
- Schedule and track transportation requests and coordinate with the foreman.
- Process and maintain procurement requisitions. Provide excellent customer service to internal customers and external vendors.
- Coordinate training to ensure all training requirements are met, for example, schedule classes, ensure attendance track required certifications.
- Support administrative needs of Department Head and Foremen.
- Effectively utilize Argonne business systems (e.g. ServiceNow, Xink, FMAX, SCOAR, and Dayforce) to generate, assemble, maintain and distribute listing of work orders and project codes for effort tracking and billing effort Site Services activities.
- Other Site Services administrative support duties as needed.
Position Requirements
- Excellent organizational and prioritizing skills.
- Highly proficient Box document management skills.
- Must have excellent computer and Microsoft Office skills.
- Considerable ability to handle a variety of tasks simultaneously and work well under pressure.
- 8 years of Administrative Admin experience
Preferred Skills
- Skills in preparing written instructions, oral communications and interpersonal relations.
- Skills preparing and developing routine and non-routine reports and spreadsheets of a complex and detailed nature.
- Ability to work independently and exercising independent judgment over a wide range of tasks.
