Job Description

The selected individual will provide critical planning and operational support for arms control monitoring and verification work at Argonne National Laboratory. Primary support will include financial tracking and reporting, project management, and event planning. Financial support will include the tracking of incoming funds against approved work budgets, tracking spending for individual projects or conferences, assisting project PIs with spend predictions and carryover estimates, communicating the financial status of each project to program managers at DOE in written or oral form, and tracking multi-year funding and spending for the arms control program. Key program management responsibilities will include tracking the due date and submission of work deliverables to sponsors, tracking internal project deliverables submitted by other DOE laboratories/sites, calendaring, tracking email correspondence, assisting PIs with purchases and the document release review process, and managing purchase agreements with local companies. The selected individual will assist with scheduling, planning and preparation of trainings, exercises and workshops which are being hosted at Argonne as part of the arms control monitoring and verification efforts. Meeting preparation may include drafting agendas, tracking anticipated participants, and/or assembling training packages consisting of manuals, small tools, procedural references, logbooks, etc.

The selected individual will work closely with and support the relationship managers for arms control monitoring and verification work at Argonne and will provide support to the PIs in arms control monitoring and verification from across the laboratory. The selected individual will also communicate directly with collaborators at other DOE laboratories/sites as well as DOE program sponsors and will be expected to maintain a strong and positive relationship with them.

The selected individual will be supporting global security initiatives related to the ability to monitor and verify arms control treaties, with an emphasis on nuclear security, nuclear weapons monitoring, and denuclearization of breakout countries. The selected individual need not have a technical degree. However, a general interest in science or the global security mission will help the selected individual to be successful in this position.

Position Requirements

  • Ability to work with a variety of internal and external contacts of varied executive and management levels, including the relationship managers for the sponsored work, the PIs performing the work, colleagues at collaborating DOE laboratories and sites, and the sponsor of the work in Department of Energy/National Nuclear Security Administration.

  • Ability to serve as an interface when needed between project PIs and the DOE sponsoring program managers.

  • Ability to maintain a strong and positive relationship with program sponsors at DOE.

  • Comfort working with financial numbers such as overhead burdens placed on labor rates and spend projections.

  • Skill in maintaining detailed and accurate budget and cost records.

  • Skills in arranging meetings, planning/arranging workshops and conferences, and coordinating onsite visits of others.

  • Comfort with tracking large numbers of deliverables and activities, helping the relationship manager to track, plan and de-conflict events, and helping project PIs with maintaining awareness of their coming responsibilities.

  • Ample experience using a personal computer including advanced capabilities in Word, Power Point, and Excel.

  • Ability to independently draft high quality word reports, presentation slides and excel spreadsheets to meet the responsibilities outlined above.

  • Ability to learn and adapt to additional financial and program management systems and processes used at Argonne.

  • Some knowledge of science, with the ability to acquire an understanding of the terminology related to arms control monitoring and verification.
