Position Summary
The Senior Analyst is an integral member of the newly formed Translational Development Center (TDC) which is housed in the City of Hope (CoH) Research Operations vertical ensuring effective budgeting, pricing, project timelines and financial management of the TDC and advancing CoH’s mission and goals. The Senior Analyst reports directly to the Manager, Budgeting & Finance and is primarily responsible for coordinating and executing the financial billing of TDC, Preferred Partnerships, cellular therapy and related activities. They assist and work closely with TDC Project Directors in managing ongoing overall project budgets, internal recharging of project expenses, and final project close outs.
They are responsible for compilation of statistical, fiscal and metric data as it relates to TDC, Preferred Partnerships, cellular therapy clinical trials and related activities. The Senior Analyst will offer innovative solutions to streamline processes involving financial management of TDC, Preferred Partnerships, and cellular therapy projects. They work closely with research and finance leadership to ensure achievement of financial performance goals as well as the long-term growth objectives of the TDC, Preferred Partnerships, and cellular therapy. They work with other departments to ensure compliance with contract obligations, streamline workflows, and improve processes. They will assist in the tracking of TDC director’s time and effort to ensure maximization of their efforts. They also assist with special projects, ensure timely invoicing of TDC projects, monetary disbursing, and tracking, and monitoring of cash flows for TDC projects.
Key Responsibilities include:
Reporting:
- Compile data and prepare of statistical and fiscal reports as they relate to TDC project activity on a monthly/yearly basis. Assist TDC, PIs, business managers, internal departments, and leadership with preparing scheduled and ad hoc financial reports.
Projects:
- Assist with financial accounting projects, including, but not limited to improvement events. Assist with ongoing review of internal processes to streamline or create new more efficient processes; assist in executing process changes and assist with overseeing to completion. Assist with policies and procedures development, both design and implementation, as they relate to compliance with applicable laws. On behalf of CoH, evaluates consistency with national best practices in pricing for TDC, Preferred Partnership, and cellular therapy-related areas.
Core Responsibilities - Accounts Receivable/Payable:
- Regularly review contracts/budgets, create/maintain clinical trial study calendars and manually gather data from study teams, and/or utilize Clinical Trials Management System (CTMS) data to post expenses to accounts.
- Track financial milestones and ensure timely project invoicing to partners and clients which match project deliverables to ensure appropriate invoicing and reimbursement.
- Provide accurate and timely financial status reports to the TDC, PIs, business managers, internal departments, and leadership.
- Ensure timely deposit, correct allocation, reconciliation and distribution of revenue.
- Provide related data, as needed, to TDC, PIs, business managers/directors, internal departments and leadership.
- Work with Accounts Payable to process and ensure timely payments are made to various internal groups and external vendors based on contractual obligations.
- Monitor cost center activities on an ongoing basis and reconcile cost center balances upon project closure by working with departmental business managers and Grant Accounting to ensure timely account closure.
- Manage cash flow, including timely disbursement of project account funds, according to the approved budget and resolve account balance discrepancies.
- Resolve account balance discrepancies.
- Ensure accurate tracking of TDC Directors’ time and effort, salary allocations, and other areas involving TDC Directors’ time in order to maximize the efficiency of the department.
Basic education, experience and skills required for consideration:
- Bachelor’s degree or equivalent combination of education and experience.
- 3+ years related experience or 2+ years related experience with position-related post graduate degree.
Preferred education, experience and skills:
- CPA Preferred
- ACRP certificate
- General understanding of medical terminology, specifically in the Hematology/Oncology space
- 5 years of experience working with complex clinical research budget and finance matters in an academic or independent biomedical research organization.
- Clinical trial budget development.
- CTMS usage (OnCore, Velos).
