Organizational Unit Overview
The Division of University Advancement supports, encourages, and promotes East Carolina’s academic mission and vision by interacting with alumni, friends, and the greater community. The goal is to engage and connect these constituents with the university to garner support and secure resources that will enhance East Carolina’s unique place in higher education.
Job Duties
University Advancement is dependent on the management of information. The primary tool for information management is the alumni/donor database. This position oversees/maintains data integrity of information in the “One” database in support of development activity. The data includes alumni, donor records and prospects for the ECU Foundation and the ECU Medical Foundation.
This position reports to the Director of Advancement Services. Responsibilities have increased due to the complexity of the database and the number of users. University Advancement will be evaluating CRMs the Fall of 2023 with plans to implement new system July 2024. The project will take 18-24 months and this position will be assign vital tasks for the successful implementation of our new donor CRM.


JOB DUTIES:

This position will plan, direct, and manage the development of the database and its integrity. Direction includes devising and implementing the necessary programs and procedures to ensure the integrity and security of the Alumni/Donor Database (One). Management responsibilities include identifying, analyzing and tracing technical data processing problems. Communicating and consulting with end users and software companies to resolve technical problems with the database or works closely with ITCS to resolve.

Plans, coordinates and administers the One application training for staff within the division and within other divisions that have access to the One application. Analyzes the needs of users and updates and assigns security rules, classifications and responsibilities. Answers all questions related to One. Resolves application problems by using documentation and resources from software company (One)

Supervises Data Entry personnel, including overseeing completion of job duties, delegating work projects, time management guidance, providing training and performance reviews. Independently directs information management projects to enhance data integrity. Establish and implement all processes and procedures for database management. These procedures include, but are not limited to, making updates to computer records, tracking gift information, adding new records to the system, implementing proper coding for ease of extraction of data and maintaining documentation.

Manage, direct, and verify all data uploads for the One application. This includes the grad upload from the Banner student database, National Change of Address and LinkIDs from Alumni finder and any other data uploads.

Perform and assume other duties, responsibilities, and special projects as assigned by the Director of Advancement Services.

Attend monthly meetings with ITCS to prioritize service requests. Submit all service requests and maintain log of pending/completed request.
Minimum Education/Experience
Associate’s degree in Computer Information Technology, Computer Technology Integration, Networking Technology, or related area and one year of experience in the information technology field related to the position’s role; or Bachelor’s degree from an appropriately accredited institution and one year experience in the information technology field related to the position’s role; or Bachelor’s degree in computer science, computer engineering, math or engineering or related technical degree from an appropriately accredited institution; or an equivalent combination of education and experience. Journey level requires an additional one year of experience. Advanced level requires an additional two years of experience.
