Position Summary

The Business Manager is responsible for the administrative, operational and financial performance of specified departments. This position performs a variety of complex data analysis, financial evaluation, and report preparation functions to support the planning, decision-making, and implementation activities for Department Administration. Develops project plans to manage projects successfully to completion. Helps lead the management of strategic initiatives to improve productivity, capacity/utilization, resource management, and patient experience. Identifies and pursues performance improvement efforts and serves as primary point of contact for operational data and information. This position may manage and provide oversight of the staff.

Key Responsibilities include:

Financial Management

  • Co-Manages department PSA and operating budgets.
  • Co-leads development and maintenance of annual budgets.
  • Forecasts department volumes, revenue, and expenses.
  • Responsible for department(s) expenses reconciliation, payroll reconciliation, cost transfers, invoice payments, and stipends.
  • Responsible for reviewing and approving ERP requests, facilities requests, catering requests, travel requests, and other department related expenses.

Operations / Administration / Business Support

  • Develops proficiency with the Professional Services Agreement (PSA). Oversees and/or assists with the allocation of PSA funds within the departments and manages effort allocation/reporting.
  • Responsible for development and management of project plans, timeliness, and implementing strategies in a timely and efficient manner.
  • Assists with staff onboarding and offboarding.
  • Support faculty affairs (appointments/promotions, performance evaluations, etc.).
  • Responsible for coordination of facilities and space planning for the department (new installs, remodels, renovations, etc.).
  • Manage contracts within the department including identification of need, negotiations, execution, and ongoing monitoring of performance.
  • Develop process maps and use lean principles to improve workflow.
  • Serve as liaison to support departments such as Purchasing, Academic Medical Finance, Office of Faculty Affairs, Postdoctoral Office, Research, Service Line/Clinical Operations, Finance/Decision Support, Legal, Quality, Hospital Administration, Facilities, ITS, Contract Management, Supply Chain, and Transformation Office.
  • Responsible for reviewing and submitting payment requests for on-call physicians and consultants for department(s) (Anesthesiology, Surgery, Medical Oncology)
  • Maintains current knowledge and awareness of organizational and regulatory standards, policies and procedures.

Decision Support and Analytics

  • Proactively analyze metrics and data to present recommendations to improve administration and operations.
  • Performs complex analyses of financial, organizational, developmental, and/or planning data. Identifies, collects, synthesizes, and analyzes data. Verifies the accuracy of the data.
  • Business justification for new programs and positions (faculty and staff)
  • May maintain data/information and trend/benchmarks on faculty productivity and quality.
  • May monitor trends and opportunities regarding utilization and capacity

Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan. Practices a high level of integrity and honesty in maintaining confidentiality.

Performs other related duties as assigned or requested.

Basic education, experience and skills required for consideration:

  • Bachelor’s degree in healthcare, business or related field
  • 3+ years of business/operations experience preferably in a healthcare environment

Preferred education experience and skills:

  • Master’s degree in health or business administration
