JOB SUMMARY

Accountable for leadership and oversight of medical staff office and all its related functions. Manages, coordinates and oversees all aspects of the Professional Group of Arizona (PGA) operations. Duties include contract modeling, ongoing management/maintenance of contracts, preparation of reports and scenarios for the ongoing review of the operating budget, manages the process of ensuring all appointed medical staff meet requirements as outlined in Medical Staff By-Laws, CMS, TJC and any other external regulatory body. Manages multiple practice-related processes such as payroll, invoicing (including time sheets, expenses, hours etc.). Manages the scheduling function to ensure appropriate levels of on-call coverage for all required specialties and coordinates and manages physician requests for time off in collaboration with Senior Leadership. Plans and coordinates physician candidate interview process to include travel, agenda management and appropriate scheduling. Provide administrative support for the physician leadership team and some administrative tasks (e.g., expense reports, etc.) as requested by other PGA providers. Partners with IS, vendors and department heads across the hospital to effectively transition new providers into the organization and to maintain effective relationships thereafter. Supports the physician group by facilitating project logistics such as meetings, conference rooms, conference calls, complex and advanced clinical presentations, etc. Acts in support of employed and contracted providers as liaison to senior leadership, medical staff & department staff. Prepares, completes, and collects all employment related paperwork required by Talent for all employed physicians. Manages the Workday processes to include creation of new positions, hiring of new employed physicians, termination of employed physicians, salary increases and changes to employment status.

JOB RESPONSIBLITIES

  • Model physician compensation scenarios to be presented to CEO and Enterprise Medical Group. Aids in operationalizing new contracts to ensure all contract elements are in place. Track all contract term dates to ensure contract renewals are timely.
  • Track, approves and manages all physician time off requests, identify related staffing gaps, ensure gaps are filled and advise executive team. Identify and analyze future medical staffing needs based upon status of active staff, planned outages, patient demands and past trends to ensure adequate coverage. Maintains and publishes physician on-call calendar for all necessary specialties.
  • Prepares and approves bi-weekly payroll for employed providers. Manages the Workday processes to include creation of new positions, hiring of new employed providers, termination of employed providers, salary changes and changes to employment status. Manages, verifies, and processes all invoices and payments to locums staffing vendors. Reviews and approves payments to contracted groups.
  • Provide oversight of medical staff services function to ensure: timely and complete credentialing of new medical staff and re-appointment of current medical staff; medical meeting management, compliance with Medical Staff Bylaws, Medical Staff Rules and Regulations, The Joint Commission Standards of Participation, CMS regulatory standards, tracking of medical staff leadership logs, processing of medical staff leadership stipends, onboarding and offboarding of post graduate residents and fellow, etc.
  • Partner with Physician Group on physician candidate profiling and recruitment strategies that minimize time to fill with right fit physician talent. Organize physician candidate interview experience that allows adequate assessment of candidate by the appropriate parties and present the candidate with a positive and impactful experience. Upon execution of contract, ensures that all new employed and independently contracted physicians complete a robust onboarding plan the supports timely optimization of their practice and patient panel.
  • Gather, track and analyze various metrics as related to physician productivity, compliance, patient satisfaction, revenue and compensation. Provide this reporting for physicians that enables them line of sight to their overall performance (e.g., productivity, financial, quality, etc.); moreover, to ensure they are tracking to contract elements of performance. Serve as a resource for physicians to collect and report back on additional levels of data detail as needed.
  • Develop and maintain mutually beneficial relationships with physicians and practice staff. Identify, initiate, contact and continually evaluate opportunities to enhance physician engagement and effectiveness. Develops collaborative relationships with all physicians. Acts in support of employed and contracted physicians as liaison to management, medical staff, department staff and other departments.
  • Oversight of CME expense tracking process for all physician and advanced practice provider to ensure utilization is in alignment with contract terms.

JOB QUALIFICATIONS

Experience: 2 years of experience in practice management, contract administration, medical staff services or related field.

Education: Bachelor’s Degree in Business Management, Public Health or equivalent work experience.

Salary / Pay Rate Information:
Pay Rate: $42.24 - $69.54 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
