Job Description
Position Highlights:
- The Procurement Analyst ensures timely processing of product, service, and equipment orders utilizing our current ERP system and complementing systems.
- This position assists the Contract Sourcing Administrator, Procurement Analyst II and Supply Chain Analytic Teams with continuous improvement in the Purchasing process.
- Manages backorders and coordinates the communication to customer groups.
- Manages invoicing and shipment discrepancies, coordinating with the Accounts Payable and Receiving Departments.
- Responsible for managing the product return/recall processes.
- Actively involved in developing and maintaining the vendor standards list.
- Verifies the process for bids/quotes has been followed per policy.
- This position requires a large amount of interaction with internal/external customers.
- Responsible for confirming/expediting all daily purchase orders.
- Works through daily issues with suppliers/vendors and providing timely communications, as needed, with the customers.
- Ensure timely arrival of product at minimal cost; meeting the supply needs of all departments throughout the organization.
The Ideal Candidate will have
· Proficiency with Microsoft Office – Outlook, Word, OneNote and Excel. ERP system experience, preferably Infor/Lawson ERP System, GHX, or ImageNow.
· Familiarity/ knowledge of supplies required in one of the following fields: Healthcare or an Academic/Research facility.
Responsibilities:
- Responsible for ensuring purchase orders are processed within the guidelines of the Purchasing Policy, for the Institution. Confirms vendor has received purchase order and validates availability, pricing, and item numbers match customer's requests.
- This position will address any internal/external customer concerns/inquiries. Will work directly with the Contract Sourcing Administrator and Procurement Analyst II providing data/information for trending analysis, to help improve customer relations.
- Works closely with the Contract Sourcing Administrator process improvement opportunities in order to optimize
the daily work process. - Manages back-orders from the vendor to the customer. Coordinates with vendors, and if needed the Contract Sourcing Administrator, to procure acceptable alternative supplies and deliver in a timely manner. Coordinates with vendors, customer groups, and if needed the Procurement Analyst II, to resolve invoice discrepancies, receiving/shipping discrepancies, affected recalled products, and product returns.
Credentials and Qualifications:
- Associate's Degree in Business Finance, Accounting, Economics, Supply Chain or other related field.
- In lieu of an Asso's Degree, a High School Diploma with an add'l five (5) year of relevant Healthcare Supply Chain exp in procurement, supply chain and/or vendor management plus the five (5) years for a total of 10 years, exp may be considered
- Minimum of five (5) years of supply chain/procurement exp directly involved in purchasing administration support within a healthcare facility, medical durable good management, educational facility or similar supplier/distribution business
