Job Description

70% Provide project management for medium to large scale technical projects as assigned to include:
Assist with or lead technology initiatives, both for internal IT teams and the larger university, through all five phases of the project management lifecycle (from initiation to closure). This includes developing project charters, project plans and schedules, identifying and monitoring issues and risks, etc.
Ensure all tasks and project requirements are completed in accordance with scope, schedule, and budget.
Organize, coordinate, and lead the project team, scheduling meetings as needed and ensuring the team has access to up-to-date meeting notes, project documentation, and relevant data.
Use project management tools to track project performance and schedule adherence.
Report project status to key stakeholders, including project sponsor, leadership, etc.
Gather project requirements and research and evaluate technical solutions. Identify opportunities for automation and process improvement to enhance service delivery.
Function as a business relationship manager to various departments.
Ensure that processes and procedures are documented, working with training and communications teams to facilitate the development and implementation of training and communication plans as needed.
Implement change management strategies with the assistance of communications, training, and leadership to ensure end-user adoption and successful implementation.
10% Complete project information needs required by KITO:
If needed, complete the required coursework, and earn the Project Management Methodology (PMM) certification required by the Kansas Information Technology Office (KITO) within first year.
Ensure that initial project information is gathered, including risk assessment(s), and submit those to KITO on a timely basis.
For projects requiring additional oversight, work with the project sponsor, team, and stakeholders to complete the required project planning and documentation to ensure compliance. This also includes quarterly reports for approved projects.
10% Provide project management advice, consultation, and templates to other project managers at KU:
As needed, develop templates and other resources to standardize project management processes.
Provide advice, consultations, and training to incidental project managers within the organization and the university.
10% Attend meetings, serve on committees and perform other duties as assigned:
Fulfill various administrative tasks assigned by Associate Director of Project and Change Management.

Required Qualifications

High School Diploma/GED and five years of relevant experience OR an Associate degree and three years of relevant experience OR Bachelor’s degree and one year of relevant experience.
A minimum of one year experience using Microsoft Productivity applications (Word, Excel, PowerPoint, Outlook, OneNote, Visio, Project, Teams, SharePoint, Planner).
Certification in project management, such as PMP or CAPM.
Experience utilizing superior written communication at all levels of the organization as evidenced by application materials and job history.

Preferred Qualifications

Three years of demonstrated experience in IT project management.
Three years of experience with project, program, and/or portfolio management methodologies and/or software to manage project schedules, budgets, etc.
One year experience creating communications and presentations for, negotiation and consensus building with, and eliciting feedback from diverse audiences of stakeholders, clients, and IT professionals.
Strong time management and organizational skills, with a record of being flexible, accurate, detail-oriented, reliable, and self-motivated as evidenced by application materials.
Superior oral communications skills as demonstrated by interview process.
One year experience working in higher education.
