The Senior Specialist, Immersive Experiences and Operations overseas the daily operations for a range of venues on the City of Hope Duarte, CA campus including the City of Hope Visitor Center, La Kretz House of Hope, the Arthur & Rosalie Kaplan Family Pavilion, Kaplan Kitchen, and the Anthony F. Markel Family City of Hope Museum. This individual ensures the delivery of outstanding visitor and guest experiences, and oversees the coordination of curated on-site meetings, events and experiences hosted across these venues, inclusive of the external Sculpture Garden. As a central member of the Experience & Event Strategy team, the Senior Specialist establishes and maintains systemwide guidelines and protocols to ensure all venues are maintained at optimal levels—operating and utilized efficiently and effectively. Responsibilities include inventory management, overseeing on-site event catering operations at Kaplan Kitchen, financial planning and budget management, equipment procurement and maintenance, and vendor relationship management. The incumbent will apply their expertise and knowledge to plan, coordinate, and implement hospitality strategies related to more than 500 activities, meetings and events on an annual basis. The incumbent will collaborate with colleagues to ensure the delivery of high quality, high impact meetings and events which reflect our mission and culture, and support overall system and event-specific goals.

As a successful candidate, you will:

Maintains master calendar of venue reservations. Ensures that venues are adequately stocked for event and meeting needs (i.e. audio/visual, seating, floral, décor, etc.). Ensures adherence to regulations and quality standards.

Manage and produce strategic events and meetings for a range of internal stakeholders, including Executive, Clinical and Research leadership.

Serves as the primary point of contact for the Office of the Board producing the logistical aspects of City of Hope Board of Directors meetings and events held in the Visitor Center and the Arthur & Rosalie Kaplan Family Pavilion, in addition to supporting offsite meetings and retreats.

Manage and coordinate all logistical elements and details including, but not limited to: venue set up/strike, move requests, food and beverage catering, décor, presentations and/or entertainment,

Run the day-to-day catering operations and services of the Kaplan Kitchen which includes 1) ensuring health and safety regulations are strictly observed, 2) monitoring the quality of the product and service provided, 3) accurately and easily communicating standards and cooking methods to staff, 4) leading teams of chefs and catering assistants, 5) hiring, training, and supervising contract catering staff, 6) planning and creating innovate menus in consultation with City of Hope Executive Chefs, and 7) Ensuring timely and safe food preparation, availability and delivery.

Responsible for creating and maintaining key venue reservation and operations documents, including experience and event concept proposals, floorplans/diagrams, production timelines, California Department of Health regulatory records, venue look book and inventory spreadsheets.

Your qualifications should include:

  • Bachelor’s Degree; 4 additional years of experience plus the minimum experience requirement may substitute for minimum education.
  • 5 years of event planning, hospitality and special project experience.
  • Hospitality, Travel and Tourism, Event Planning.

Salary / Pay Rate Information:
Pay Rate: $34.64 - $53.70 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
