The Charleston Area Medical Division/Campus Student Services at West Virginia University is currently accepting applications for a Medical Student Clerkship Coordinator (Program Assistant III).

About the Opportunity

The primary purpose of this position is to coordinate the WVU SoM 3rd & 4th year medical student clerkship (Family Medicine) on the WVU School of Medicine’s Charleston Campus, as well as to provide ancillary support to the SoM Office of Student Services and the SoM Campus Deans/Dean’s Office.

What You'll Do

Coordinate the 3rd and 4th year SoM medical student rotations relative to the Department of Family Medicine
Mange all aspects of the core Family Medicine clerkship, its rural track rotations, the sub-internship, and the rural scholars program coordination
Prepare/manage service rotation schedules, call schedule & lecture schedules for each Block and distribute to medical students
Update the schedules noted above as they evolve (changes, cancellations)
Maintain ongoing contact with assigned physician attendings and the students on the Block in regard to reminders and updates,
Manage the WVU SOLE website submissions by submitting schedules to the Webmaster and providing updates as changes occur,
Monitor the Block’s quiz process and any ‘question of the day’ processes to ensure students are learning and preparing for the mid-block exams and the end-block NBME exams
Schedule, proctor & grade mid-term exams and schedule final shelf (NBME) exams, and proctor the final shelf exams
Manage the Family Medicine Block student information database. For each physician attending/rotation, track the evaluation process during each rotation to ensure that all evaluations are completed by the faculty and the residents and then recorded in each student's file.
Maintain / mange student files (evaluations, test scores etc.) and retrieve information for the Department’s Clerkship Director, as needed
Coordinate data for the required Clerkship Director letters and final evaluations, all of the final documentation that’s ultimately transmitted to Student Affairs
Coordinate special student functions: student skills workshops, recruitment fairs, simulation lab sessions, etc.
Manage the clerkship simulation lab didactic instruction development. Maintain responsibility for technical equipment and documentation re: simulation laboratory time
Assist the SoM Office of Student Services with special projects and events.
Assist the Administrator for Campus Operations / Student Services in gathering information for use with the SoM’s annual Promotion & Tenure evaluation process.
Pay Grade: 15



Qualifications

Bachelor’s degree
A minimum of one (1) year of experience in the following:
Experience with clinical / patient scheduling in a teaching hospital environment with clinical learners
Any equivalent combination of related education and/or experience will be considered.
All qualifications must be met by the time of employment.
Knowledge, Skills and Abilities

Ability to judge high and low priority items and effectively prioritize in a University/educational setting
Strong organizational skills with attention to detail as it relates to scheduling physicians and students, and managing the inevitable scheduling changes that will occur
Trustworthy, able to understand and manage confidential information
